SENIOR EXECUTIVE ASSISTANT – MAYOR & CAO

Reporting to the Chief Administrative Officer (CAO), this position acts as confidential assistant to the CAO and the Mayor.

Duties Include:

  • Acts as first point of contact for CAO and Mayor on a variety of public, community and politically charged issues.
  • Liaises with senior levels of government and senior executives in the private sector.
  • Acknowledges receipt of, researches, drafts responses and responds to inquiries, complaints, commendations, charity requests and tracks correspondence.
  • Drafts original correspondence; data research; and transmits reports and other communications from the CAO to administrative personnel and members of Council.
  • Organizes Management Meetings, prepares agendas and tracks action items for follow-up prior to next meeting.
  • Monitors monthly expenditures for the CAO and Mayor in relation to the annual budgets.
  • Maintains highly confidential files.
  • Provides telephone and public reception.
  • Organizes events and schedules appointments and meetings.
  • Performs data research as required.
  • Transmits reports, memorandums and other communications from the CAO and Mayor to administrative personnel and members of Council.
  • Arranges travel and prepares itineraries for CAO, Mayor, Council and Consultants as required.
  • Maintains daily “bring forward” system for CAO and Mayor.
  • Provides back-up coverage to Executive Assistant for the Deputy CAO & Clerk Division.
  • Performs other related duties as assigned.
  • All persons employed by the City of Vernon will be required to assist the City in providing emergency services.  Duties assigned during an emergency may differ from regular duties.

 

Required Education And Experience:

  • Post-secondary certification in a recognized secretarial and/or office administration program
  • A minimum of 8 years executive assistant experience at a senior level with preference given to those with municipal administration experience.

 

Required Knowledge, Skills And Abilities:

  • Thorough knowledge of business English, punctuation and grammar.
  • Knowledge of general office practices and procedures.
  • Proficiency in Microsoft Word, Excel, PowerPoint and Lotus Notes.
  • Knowledge of other software.
  • Knowledge of current events and current local political climate.
  • Exceptionally well-organized and able to work effectively with minimal guidelines and supervision.
  • Ability to exercise mature judgment regarding confidential & sensitive information.
  • Exceptional telephone skills.
  • Well-developed communication, discretion and public relations skills.
  • Considerable diplomacy and exceptional interpersonal skills.
  • Flexible and able to prioritize work in a fast-paced environment, working to deadlines.

 

Preferred Education And Experience:

  • Diploma in Business Administration.
  • Education in Local Government Courses (i.e.: MATI Courses, recognized college or university courses in Public Administration).
